Job Title: Executive Assistant to the Dean of SCSM

Division: Academic

Department: SCSM

The position reports to: Dean of SCSM (supervisor: SCSM Administrative Manager)

Job Purpose Summary:

The Executive Assistant supports the School of Computer Science and Mathematics and assists the Dean with developing policies and procedures and preparing technical documents.

Key responsibilities and Duties:

  • Assist the Dean in daily operations;
  • Receive visitors, advise students if necessary, explain academic policies, etc;
  • Assist in the organization of vents, seminars, conferences, and workshops.

Responsibility also includes ordering and setting up refreshments;

  • Communicate with Executive staff, other KIMEP employees, administrative support staff, and outside people regarding meetings.
  • Coordinate and make all travel arrangements and car reservations for the Dean;
  • Assists the Dean with special projects and development of procedures and processes to support efficient operations;
  • Respond to e-mail messages from students and inform the Dean daily;
  • Coordinate office activities and appointment schedules and calendars, arrange meetings,

Develop and recommend office procedures and systems, ensure smooth office operations;

  • Process payment invoices and prepare expense reports and budgets;
  • Independently respond to letters and general correspondence of a routine nature;
  • Update and maintain data associated with academic assessment procedures.
  • Attend meetings as requested and prepare minutes.
  • Assist in the preparation of technical reports.
  • Performs other duties as might be assigned by the Dean.

Minimum Qualifications:

  • Bachelor's degree in a relevant field from a recognized university;
  • Strong interpersonal communication skills with diverse populations such as staff, students, parents, and faculty;
  • Excellent writing and oral communication skills in English and Russian;
  • Experience using spreadsheets, charts, and a variety of computer software to format, compose, and present statistical data and reports, including researching, formatting, assessing, and preparing data for reports and other materials;
  • Good computer skills;
  • Punctual, flexible, customer-oriented.

Desirable Qualifications:

  • One experience in education administration, counseling, or other relevant fields;
  • Previous administrative experience at higher education institutions.
