Job Title: Administrative Manager

Division: Academic

Department: SCSM

The position reports to: Dean of SCSM

Job Purpose Summary:

The Administrative Manager is responsible for the day-to-day operation of the School of Computer Science and Mathematics. They supervise the Executive Assistant and the Program and Internship Coordinator.

Key responsibilities and Duties:

  • Assist SCSM Dean’s office on a daily basis;
  • Manage college operations, support services and academic support;
  • Participate in college committees and decision-making and establish, implement and enforce academic policies and procedures;
  • Perform tasks that require good skills in organization and planning.

General Responsibilities and Duties:

  • Receives student requests and processes them;
  • Assists in the process of selection of new CSM faculty members;
  • Oversees and directs other administrative staff at CSM;
  • Assist the dean in coordinating the academic work at CSM;
  • Serves as liaison to, and regularly communicates with, faculty, staff, students and community members regarding college policies, procedures, processes and events;
  • Represents the dean on various internal and external committees as required;
  • Plans, develops, recommends, oversees budget and approves expenditures; Composes the budget for the Dean's office, data gathering, analysis and monitors its execution;
  • Prepares letters and memos, interprets and translates when needed;

Specific Responsibilities and Duties:

  • Disseminates college-wide and student emails;
  • Resolves college-related issues, concerns, and/or complaints;
  • Assists with the preparation for various conferences and full management of events;
  • Arranges meetings of SCSM;
  • Takes and maintains minutes SCSM's academic committees and advisory boards;
  • Manages, organizes and updates data using database applications;
  • Prepares reports such as room utilization and availability, space, fixed assets, post-event documents, post-trip documents;
  • Ordering stationery, software and catering services;
  • Assists in preparing the annual Faculty and Staff Hiring Plan, statistical analysis and final recommendation on behalf of SCSM
  • Participates in the staff hiring process through contacting selected candidates, works with
  • them on all documents necessary for hiring;
  • Coordinates the annual and semester-wide faculty and student recruitment activities for SCSM;
  • Organizes and monitors college-wide events (Open House Days, college-wide conferences, seminars, round-tables, opening ceremonies)
  • Prepares documents required for attestation and accreditation;
  • Organizes orientation meetings for new faculty around KIMEP;
  • Budget preparation;
  • Preparation of contracts for adjunct faculty, overload forms, monthly time sheets;
  • Arranges accommodation and good work conditions for visiting scholars of the College;

Minimum Qualifications:

  • Bachelor's degree in management/administration from a recognized university;
  • 3 years experience in an administrative position;
  • Excellent managerial skills including organization, planning and multitasking;
  • Ability to work creatively and independently;
  • Knowledge of modern office practices and procedures;
  • Excellent interpersonal skills, proven ability to work effectively with faculty members, students and all levels of administration;
  • Skill to communicate ideas and instructions clearly and concisely;
  • Excellent technical writing skills;
  • Familiarity with academic policies, regulations, rules, and program curricula;
  • Excellent writing and oral communication skills in English and Russian;
  • Good computer skills;
  • Attentiveness to details.

Desirable Qualifications:

  • Master's degree in management/administration from a Western university of equivalent;
  • Previous administrative experience at Higher Education Institution
