About the role:
The International School of Moscow is looking for an enthusiastic English/Russian speaking Personal Assistant to the Principal. We offer a unique opportunity to work in the international team dedicated to providing the best educational service on the Russian market among international programs.
Key Responsibilities:
Support to the Principal:

Managing incoming and outgoing calls, emails, and correspondence for the Principal.
- Organising offline and online meetings (via Microsoft Teams, Zoom, and Skype) with parents, staff members, and interviewees.
- Providing travel support for the Principal and visitors (e.g., PGCE trainers).

Producing, checking, updating, printing, copying, and filing documents, forms, and reports, on request.

Completing various projects, requests, and research tasks.
Translating and interpreting when necessary.
Academic Recruitment:
-
Posting vacancies on recruitment websites (e.g., Headhunter, TES) and working with recruitment agencies.

Reviewing job applications and curricula vitae, forwarding relevant ones to the Principal and other key staff.
- Organising face-to-face and online interviews.

Requesting references for candidates and verifying their documents according to school policies.

Conducting DBS ID Check and prohibition checks for candidates with UK experience.

Performing international police checks and supporting candidates' requests for such checks.
- Sending job offers to successful candidates.
- Providing clear communication and informational support to all academic candidates, in liaison with the HR Department.
Staff Member-Related Duties and Child Protection Practice Support:
- Maintaining and updating confidential personal profiles for all staff members.

Ensuring timely completion of background checks, staff risk assessments, and safeguarding trainings.
- Collecting and updating staff information and photos on the school’s website.
- Maintaining and updating academic email groups and staff structures.

Updating a Single Central Register (SCR) document in line with established requirements.
- Assisting in managing the academic calendar.
- Providing support during inspections and audits related to PA duties.
Event Organisation and Contractor Liaison:

Organising school events such as Child Protection trainings, staff parties, and Speech Day.

Choosing venues, agreeing on terms, working with documents, organising payments, and supporting during events.

Working with contractors for various services.
- Planning, updating, and tracking assigned budgets.
Requirements:

Completed higher education;
-
Fluent English and Russian;
-
Experience of assisting expatriate heads;
-
Advanced PC User;
-
Proactivity;
-
Communicate openly and effectively at all levels throughout the school community;
-
Create a positive environment in which there is a place for open discussion;

Be able to prioritise the tasks and be able to manage your workload within a day/week in order to perform them effectively.
