Office of the President is looking for candidates to the following vacant position:

Title: Executive Assistant

Division: Office of the President

Position reports to: President of KIMEP University (in his absence-Provost) and the Senior Executive Assistant to the President

Key responsibilities and duties:

  • Under the guidance of the Senior Executive Assistant and the Communications Director, provide full support to the President; this may include, but is not limited to:
    • Organizing meetings and events at the request of the President
    • Liaising with Kazakhstani government stakeholders regarding meetings, projects, and regulations as they relate to the Office of the President
    • Providing full logistic support for guests of the President
    • Following up on assignments given by the President to the Vice Presidents and other members of the University administration, and providing the President with progress updates
    • Briefing the President on key projects, activities, and issues, especially as they relate to the Office of the President’s work with the government of the Republic of Kazakhstan and its agencies
    • Leading, supervising, and guiding, as appropriate, projects initiated by the President
  • At the request of the President or the Provost and General Deputy to the President, represent the Office of the President to the external community with a specific focus on representing the Office of the President through Kazakh language communication
  • In the absence of the Senior Executive Assistant manage the day-to-day activities and administrative issues of the Office of the President
  • Manage the maintenance of records of the Office of the President
  • Supervise, train, and develop the skills of Student Assistants in the Office of the President
  • In the absence of the Communications Director:
    • Serve as the President’s Cabinet (PC) Secretary, which entails the following:
      • Organize PC meetings at the request of the President and/or other PC members;
      • Collect background information on the proposed agenda items and brief the President;
      • Create meeting agenda, take meeting minutes, ensure that the minutes are signed by all members, and maintain the files containing the minutes
    • Under the guidance of the Communications Director write official correspondence for the President
    • Ensure that the information on the President is correct and up-to-date on the KIMEP website and in other materials
  • Carry out other projects and assignments at the request of the President or the Provost and General Deputy to the President
  • Prepare and maintain regular financial reports on the Office of the President’s expenditures and work closely with the Accounting and Finance Department.

Minimum qualifications:

  • Bachelor’s degree from a recognized and accredited university
  • Proficiency in English, Kazakh, and Russian languages
  • 2+ years of relevant work experience
  • Experience with project management and event coordination
  • Experience in government relations and stakeholder management
  • Work experience in Central Asia or the CIS region
  • Work experience in a diverse, international environment
  • Excellent written and verbal communication skills
  • Ability to work in a fast-paced environment, multitask, and manage short-term and long-term projects and assignments
  • Attention to detail
  • Problem-solving, critical thinking, and analytical reasoning skills
  • Proficiency in Microsoft Office

Preferred qualifications:

  • Work experience in a higher education institution
  • Work experience in the office of a President, CEO, or other executive officer
  • Supervisory experience
