We are seeking a proactive and resourceful Office Manager to create a welcoming and efficient workplace for a Dubai team of our client. This role goes beyond traditional office management, requiring someone who can anticipate needs, solve problems creatively, and provide exceptional support to our employees.

Responsibilities:

  • Serve as the first point of contact for the office, providing a warm and professional welcome to visitors and handling phone calls efficiently.
  • Lead and supervise the office support team (e.g., coffee ladies), ensuring a high standard of cleanliness and service.
  • Proactively assist employees with a variety of ad hoc requests, going the extra mile to find solutions:
  • Sourcing and purchasing thoughtful gifts for clients and partners, reflecting the company's appreciation.
  • Arranging reliable and comfortable transportation for employees and visitors, coordinating logistics seamlessly.
  • Troubleshooting office-related issues and finding creative solutions to ensure a smooth workflow.
  • Manage office supplies and equipment, anticipating needs and maintaining optimal stock levels.
  • Coordinate with vendors and service providers, ensuring quality service and cost-effectiveness.
  • Assist with the planning and execution of company events, fostering a positive and engaging work environment.
  • Handle general administrative tasks with accuracy and efficiency.
Requirements:
  • Russian speaker.
  • Proven experience in office management, administrative support, or a related field.
  • Exceptional communication and interpersonal skills, with a strong focus on customer service.
  • Highly organized and detail-oriented, with excellent problem-solving abilities.
  • Ability to anticipate needs, take initiative, and work independently.
  • Proficiency in Microsoft Office Suite.
  • A positive and approachable personality.
