Summary of Position and Key Responsibilities
Under the overall guidance and direct supervision of the Assistant Manager, the Administrative Assistant provides administration services ensuring high quality and accuracy of work. The Administrative Assistant works in close collaboration with staff, Faculty, Students, visitors to the UCA and ensures consistent service delivery.
Main Duties and Responsibilities:
- Providing assistance and support to the department staff;
- Translation of correspondence and documents;
- Booking of meeting rooms and other offices per staff request;
- Printing, scanning, and circulating documents;
- Assist with stationery supplies;
- Assist Travel coordinator with arranging Visas, OVIR registration and MFA Accreditation for international staff and Faculty;
- Assist administration in organizing different events;
- Assist in logistic arrangements;
- Assist with receiving calls/mails and distributing within the office;
- Performs receptionist duties by greeting University employees, students, and visitors, directing them to the appropriate offices or persons, providing factual information or materials to routine inquiries (within the capability to do so and within prescribed policies), answering the telephone, taking messages or routing calls according to office procedures utilizing organizational familiarity and necessary discretion, and making appointments as appropriate;
- Working with SAP system;
- Other tasks relevant to the core responsibilities and duties of this position, as assigned by the supervisor;
- Accommodation booking (hotels, guest house and campus apartments) for visitors and guests;
- Assistance with UCA Guest House related requests.
Required Qualifications and Experience:
- At least a Bachelor’s degree;
- Minimum 1 year of work experience in a relevant position;
- Ability to handle multiple tasks simultaneously in a fast-paced environment, set priorities, and work independently and in a team environment;
- Knowledge of English, Russian and Kyrgyz/ languages are required;
- Working knowledge of MS Office programmes, Internet and E-mail;
- Punctuality, responsibility, and flexibility.
